Personal Assistant – Maternity Cover

We have a wonderful 9-12-month FTC (covering Maternity leave) opportunity for a Personal Assistant to provide administration support to the Operations Director, ITSM UK&I and the Finance Director Operations & Technology. The ideal candidate would have worked as a personal assistant/executive assistant in a busy environment for many years and has a passion and desire to grow and develop in their role. We are looking for a friendly and proactive candidate with excellent organisation and communication skills, as you will need to build strong and lasting relationships across all territories within Experian.

Essential Duties And Responsibilities

Sole Management of 2 extremely busy diaries to prioritise and co-ordinate appointments and maximise time efficiency for the directors
Light touch support for other members of the teams when required
Creating PowerPoint decks for monthly FCA board meeting, overseeing attendees and appointment, attending the meeting and producing full minutes and actions and distributing to the attendees after the meeting
Attending all management meetings and taking actions when required
Overseeing director’s inbox and taking action on relevant items
Co-ordinate and booking of UK & Global travel arrangements on behalf of the directors arranging flights, accommodation, directions, visa’s etc. as required
Strong corporate event co-ordination and arrangement for between 0-500 attendees
Overseeing UK&I Internal Communication alongside the UK&I Internal communications team and sending on behalf of director
Process monthly expenses for the Directors
Purchase order Invoices, payments and receipts
PA cover support for other areas of the BU
Liaise with other BU administration teams to ensure attendance, timing and actions for all relevant meetings are prescribed
Provide high-touch support to hiring managers with the on-boarding process for all new starters including ordering and arranging delivery of equipment
Co-ordinate meeting rooms for the directors including internal and external visitors including notifying all relevant attendees
Worked as a Personal Assistant at an Executive level for 3 years plus
High standard of IT skills including Excel, Outlook, Word and Power Point
Strong attention to details
Strong diary management skills, the ability to prioritise busy diaries that constantly change
Confident, enthusiastic and motivated using a flexible approach to working practice including the ability to roll your sleeves up and get involved in everything
Capable of working within agreed timescales and accommodating to change where needed
Willingness to learn and be part of a team but also works well on their own
Always working with an approachable manner
Honest, reliable, trustworthy and able to build strong relationships easily
