HR and Admin Specialist

Key Responsibilities

  • Assist with all internal and external HR related matters in your local market
  • Support resolving local HR-related issues (including payroll, grievances, disciplinary, dispute resolutions, absence, retirement, and redundancy).
  • Manage Employees database and assist with reports/ documents delivery
  • Carry out audits and checks on data changes to ensure accuracy
  • Maintain physical and digital Employees personal files
  • Assist with conducting external & internal recruitment processes – provide both administrative support and sourcing tasks
  • Daily cooperation with job portals, preparing and posting job advertisements
  • Active cooperation with universities and career offices, organization and participation in job fairs
  • Facilitate the offer and on-boarding process to ensure all tasks are completed in a timely manner
  • Assist and provide support for other administrative tasks (benefits, HR admin, H&S)
  • Continually improve employee experience by seeking for and addressing feedback provided by Employees
  • Keep up-to-date with the latest HR trends and best practices
  • Communicate with Employees on site, dedicated HR Business Partner and People Operations team
  • Drive process improvements locally and participating in group HR activities
  • Daily support with office management
  • Organizing induction programs for new employees
  • Liaising with staff, suppliers and clients
  • Dealing with correspondence, complaints and queries
  • Support in organizing company events or conferences

Requirements

  • Min 2 years of HR experience in international organization
  • 2 years of experience in office admin activities
  • Efficient HR administration and people management skills
  • Knowledge of HR functions and best practices
  • Good knowledge of employment/ labor law in Poland
  • Strong written and verbal communication skills required
  • Strong interpersonal skills with ability to interact with all levels of clients, customers and internal personnel
  • Must be proactive, responsive and resourceful
  • Must be able to multi-task and work well under pressure to meet deadlines in timely manner
  • Able to manage sensitive and confidential information
