About the Opportunity
The Project Coordinator will facilitate the maintenance of the PMO platform and processes to meet the objective of the managing the Project Portfolio in TTI in line with the agreed framework.
TTI is currently seeking a Project Coordinator to join our team in Rowville Reporting to the CI, PMO and Projects Manager, yourkey duties will include:
Key Responsibilities
-Project Management Office
-Assist the PMO manager in the administration and management of the Project Management Framework in the organisation.
-Work with the project managers in the business to maintain the Enterprise Project Portfolio Platform and Processes.
-Monitor and manage the reporting on the progress of projects by PM practitioners.
-Identify and escalate high impact issues and risks across projects and programs for visibility and resolution at an enterprise level.
-Assist the PMO manager in the identification and escalation of conflicts in resource capacity and work with the various project teams to resolve conflicts.
-Monitor and summarise project financials, schedule progress, documentation, and other project artefacts to ensure that projects are efficiently, effectively and sustainably run.
-Create information dashboards to improve Programme operational performance.
-Ensure the quality of the implementation of projects.
-Follow up on the completion of post implementation reviews.
-Undertake assurance activities to identify improvement and help areas.
-Ability to participate in multiple projects at one time.
-Run and own the administration of multiple core PMO processes.
-Define new processes and improve existing processes where this is appropriate and compatible with the concept of Continuous – Improvement.
-Contribute to PMO roadmap and capability development
-Assist in the portfolio planning process and provide administrative support to the wider portfolio and project functions
-Responsible for managing and coordinating smaller projects and efforts independently, with oversight from the PMO Lead
-Provide support and coordination for larger, more complex projects and efforts in conjunction with a Project Manager
Business Analysis
-Identify gaps in the business practices in the understanding of the delivery of projects/programs
-Work closely with the business to engage and train business users on the use of the project approach.
-Analyse project artefacts and identify errors, inefficiencies, and gaps in project plans.
-Monitor completion of post implementation review by Project Owners.
-Provide support to projects and PMs as required
Organisational
-Work closely and provide feedback to direct manager on any issues or concerns relating to the delivery or any business scope changes.
-Assist in development of instructions and informational/training documentation at a level appropriate for the intended audience.
-Willing to engage and learn new skills or processes whether technical or business is a requirement of the role.
-Ability to communicate with all levels of the organisation.
Skills
-Understanding of Prince2/PMP methodology is required.
-Experience in Project reporting and Resource Management or a related area such as Workforce Planning, Project
-Scheduling, Time booking or Business Change
-Knowledge of project management systems (Project, Jira or similar) is required.
-Strong verbal and written skills.
-Strong communication skills – ability to communicate with all levels of the organisation.
-Must be proactive with ability to think ahead, to be a team player and focussed on meeting deadlines.
-Presentation and training skills required.
-Preferably a strategic or business analysis background with experience in business engagement.
-Demonstrate participation in project environments/ projects.
-Must be able to demonstrate initiative and creative problem solving.
-Proficiency in MS Office suite including Visio and Project.
