Supervisor – Investment Operations

What is the Supervisor – Investment Operations responsible for?  

  • Global Trade Services (GTS) is part of the wider Investment Operations global department which encompasses Corporate Actions, Pricing & Security Maintenance. The GTS Core Operations Supervisor supervises the GTS Core Operations Groups by providing administrative direction, training and staff development, coordination of workflow, review of critical reports and technical procedures, and resolving complex asset reconciliation/broker maintenance problems. The Supervisor manages the daily workflow of the GTS Core Operations Groups to ensure timely and accurate processing of transactions, asset reconciliation and trade settlement for all the products supported by GTS. The Supervisor oversees a group with varying levels of experience and backgrounds and is responsible for the training and development of assigned personnel.   They ensure the accuracy, technical quality and timeliness of asset reconciliation packages, trade settlement tracking and reporting, client routing processing, and broker and underwriter setups by following IO policies, procedures, internal controls and complying with rules and regulatory requirements. They act as point of contacts for audit purposes and coordinate responses to audit requests. They lead and/or take an active part in projects related to business continuity planning, crisis management and strategic planning

What are the ongoing responsibilities of Supervisor –  Investment Operations?

Fails Management/Pre-match:

  • Supervises pre-matching/fails management process and resolves failing trades.
  • An analysis root cause of the fail trades and provides solutions.
  • Owns external relationship with brokers and liaise with them to resolve failing trades.
  • Initiates projects to reduce fails with technical teams.
  • Responsible to reduce manual processes and increase STP/automation.
  • Supervises all daily work is performed following department’s review checklists and ensures work is performed within policy and procedural guidelines

Trade Execution/Completion/Trade Messaging/BSI Support:

  • Oversee processing of Trade Executions for Equity & Fixed Income products.
  • Responsible to increase same day trade confirmation rate.
  • Ensure data confidentiality is protected by establishing controls.
  • Responsible for daily audits & secondary checks to increase the accuracy of the process.
  • Responsible to maintain policies & procedures and keep them up to date.
  • Work closely with middle office teams to serve trading desks efficiently.
  • Supervise daily work in accordance with department’s review checklists
  • Ensures that all daily work is performed within policy and procedural guidelines
  • Owns external relationship with brokers and interact daily to improve timeliness of trade completion and STP rates.
  • Keep pace with dynamic regulatory/technology changes and adapt the changes to the trade completion process.

Process improvement:

  • Leads and participates in various projects in the department; Identifies project objective, resources and barriers, and implements project strategies; ensures successful and timely completion of projects
  • Evaluates and offers suggestions for improvement to workflows, departmental policies and procedures.
  • Works to enhance Straight Through Processing for all functions performed
  • Leads testing of new systems/functions
  • Drives for solutions by constantly looking at reducing risk and streamlining processes
  • Participates in strategic planning meetings and develops a strategic business plan for the GTS Core Operations Groups and Investment Operations

Staff development:

  • Leads training of staff on GTS policies and processes
  • Conducts regular staff appraisals throughout the year (at least quarterly) and identifies development paths
  • Motivates and challenges staff
  • Conducts annual performance evaluations
  • Ensure all GTS Core Operations procedure documents are kept current and tested by back ups. Assist Manager with determining proper allocation of workload and cross-training of responsibilities with in the team

Risk Management & Control:

  • Manages risk and prioritize the workload effectively
  • Escalates potential issues at earliest possible opportunity
  • Highlights issues and report root cause and trends to management
  • Provides direction and makes decisions during unexpected events.  Assist in developing and maintaining business continuity procedures.
  • Recommends and implements a plan of action to meet objectives when the systems are down, system processes are not functioning or other uncertainties in the system environment (crisis management)
  • Coordinates audit reviews, act as point of contact for audit inquiries, participate in meetings, facilitate responses to requests from the auditors
 What ideal qualifications, skills & experience would help someone to be successful?

  • M.B.A/Bachelor’s degree in business or related major or equivalent experience is required for this position.
  • Six to seven years of investment industry experience required or Three to Four years of Leadership experience.

Additional Desirable Qualifications:

  • Graduate level finance or business courses will be viewed favorably.
  • Professional qualification/certification in finance, accounting or management highly preferred.
  • Fair understanding of the OTC Derivatives products

Travel Requirements:

  • Some travel may be required for cross-training purposes and business continuity events.
