The Role
Assist the Digital Finance Program (DFP) Program Management Office (PMO) in establishing and maintaining the appropriate tools, project management practices and knowledge management processes which enable effective management, control and monitoring of the DFP delivery projects.
The PMO Specialist is key role within the DFP PMO, responsible for the day-to-day operation of a defined set of project management processes, such as Risk Management, Change Requests, Status Reporting, Knowledge Management and Artefact Management, as well as supporting the PMO & Quality Manager in facilitation of governance forums, project workshops and other DFP related events or meetings. As a member of this dynamic team, you will also participate in the ongoing development of project delivery capability for the IAG Finance function and help to embed best practices across all project management domains.
Key Responsibilities
• Support development & maintenance of project plans, roadmaps, schedules and other project management deliverables to enable robust and transparent control of the delivery across all DFP workstreams
• Assist the PMO Manager in facilitation of governance forums, including preparation of reports and other discussion material
• Maintain the DFP knowledge management and project management tools – Sharepoint, Confluence and Jira
• Confluence & Jira, ensuring that DFP artefacts, logs and registers are effectively maintained and relevant at all times.
• Management of key project management processes as determined by the PMO Manager.
• Support budget and resource plan administration
• Facilitate project onboarding and offboarding, in collaboration with project managers, workstream leads and EA’s
• Close collaboration with workstream leads to assist in key project administration activity and support in workstream progress & status reporting.
• Assist in administrative activity in relation to vendor contracts – PO’s, Invoices, Payments etc.
• Develop, maintain and influence key relationships across IAG to support the successful delivery of DFP
• Be an active participant in the Digital Finance Systems Team, and the broader Finance division, to help build a great culture within Finance at IAG.
• Foster and ‘live’ a culture of continuous improvement within the Digital Finance Systems team
• Financial Authority – Financial limit for Quality Theme within the Group Financial Delegations Policy
Skills & Experience
• Minimum 7 years’ experience in PMO/Operational Support. Financial Services experience would be ideal
• Strong understanding of project delivery disciplines; experience with Atlassian tools i.e. Jira and Confluence
• Ability to communicate clearly and effectively with a wide range of stakeholders
• Ability to develop clear, high quality and project materials (presentations, project Management deliverables, artefact templates, documents, spreadsheets, flowcharts, etc)
• Highly structured working approach with strong attention to detail
• Tertiary qualification/s in a relevant field
• Project management accreditation – PRINCE2, PMP or similar
