Purpose of Job
Manage customer orders and make product delivery commitments consistent with business rules, credit and supply chain capabilities. The expectation is customer service excellence! Ensure prompt and accurate order entry, post goods issue, pricing and adjustment transactions in SAP. Identify and resolve problems with orders and paperwork. Initiate and resolve CNR’s and non-conformances when necessary. Exercise judgment when solving problems including product returns, quality issues, delivery challenges and minor damage claims. Provide competent backup coverage for the customer service group. Actively participate to improve process efficiencies and performance. Interact with sales, ex-plant warehouses, forwarders, logistics, treasury, supply chain, operations, P&O, accounting and SHE personnel as needed to provide customer’s on-time, in-spec delivery of product, documentation and service.
Key Accountabilities
- Manage domestic and international orders from order to cash; ensuring accurate and timely processing of orders in SAP, accurate posting of shipments when applicable as well as invoice accuracy
- Establish and maintain contact with customers. Respond to incoming customer inquiries on order specifics and assist with general information (list price quotes, new products, product availability, etc.)
- Utilize proactive and/or reactive approach to prevent, correct and inform customers on events that could result in non-conformances
- Maintain current information on Customer Master Data in SAP and accurate/complete customer files for historical documentation
- Maintain a daily desk routine including the monitoring of reports to ensure orders are clean and have deliveries, shipments are on time and invoices are generated
- Manage and reconcile inventory at various locations as needed
- Provide data to other functional areas as needed (order information, inventory levels, customer historical data, transit times, freight costs, etc.)
- Obtain freight quotes and review freight bills when received to confirm accuracy
- Support month-end closing process
- Work with credit, sales and customers on the collection of delinquent invoices
- Provide after-hours & weekend coverage. Provide backup coverage for other CSS desks
- Comply with the Quality Management System requirements
- Manage complex accounts (Key, Consignment, monthly billing, consolidated billing, etc.).
- Develop and work to implement ideas targeted to streamline existing processes.
- Mentor, coach and train new and existing team members
Formal Education
- Bachelor’s Degree or equivalent to 3 years of related customer service and logistics experience in oil & gas and/or chemical industry
Required Personal and Professional Skills
- Strong/professional communication, attention to detail, ability to multi-task and organizational skills are a must
- A good understanding of all the functions in the SAP SD module preferred
- Ability to interact with customers and promote good customer relations
- Good software skills (Word, Excel, Outlook, etc.)
- Ability to interact professionally with a wide variety of disciplines (i.e. Manufacturing, R&D, P&O, Supply Chain, Accounting, etc.)
- Knowledge of international shipping preferred
- Good typing skills (60 wpm) preferred
- Fluent in English- Foreign language is a plus
