Position Summary

Provides support to the Head of Training, Training Quality Manager and Regional Training Managers. Assists with day to day administrative and compliance tasks as required by the apprenticeship scheme and awarding organisations, in accordance to ESFA funding rules. Works with external partners to ensure apprenticeship functions are fully supported.

Duties

Compliance check of all Apprenticeship enrolment paperwork, ensuring zero errors or returning to Trainer Assessor where there are errors

Timely data input to ILR spread sheet and submitting data to the ESFA timely to meet upload deadlines with Zero errors

Inputting, updating and maintaining funding database

Paperwork audit – checked and database updated if amendments made.Support in ensuring funding rules and contract requirements are adhered toMaintaining electronic files

Resolving ILR errorsProviding data to the Head of TrainingEnsure Learner live files are kept up to date and compliant

Assessment of systems’ data to ensure contractual obligations are met, identifying and rectifying missing or incomplete information or documents

Register and apply for certification of learners with Awarding organisationRegister Learners who are ready for EPA on the appropriate portalProvide Administration support to TQM during SV visits

Implement systems for gathering and collating feedback and evaluation of training courses and qualifications delivered with TQM and HoT

Take minutes at meetings and store appropriately

Arrange printing and shipping of training materials as required

Raise purchase orders and process invoices/payments as directed by HoT or TQM

Send data to outsourced training provider and make payments as required.

Provide support with updating teaching and learning resources- Power point etc.

Room booking for training team meetings and standardisation.

Set up learners on E-portfolio platform to include standard and functional skills elements

Provide support with subcontractors with due diligence

Support with the recruitment process for new apprentices- using NAS system to advertise vacancies.

Education Degree
Required Experience

Proven experience in an administration/compliance type role
Experience working with funded programmes such as Apprenticeships
Experience of dealing with confidential information
Experience of working in a busy fast paced team
Experience of finance systems/ raising PO’s and invoicing
Preferred Experience
Good working knowledge of Microsoft applications (e.g. Word, Outlook, Excel and PowerPoint)
Excellent understanding of GDPR
Good understanding of ESFA funded programmes and data/compliance
Skills

Essential- GCSE English Language and Maths Grade C and above/or equivalent
Desirable- Business Administration L3 or equivalent
