The Role

 

 

 

We are looking for an experienced Assistant to join our Tech Strategy and Architecture division to provide support to 3 Executive Managers and their teams. This role can be based from Sydney or Melbourne.

 

 

You will be a well-organised, self-motivated individual who uses their initiative to do what needs to be done and feels confident to make decisions. You will demonstrate high levels of written and verbal communication skills with continuous attention to detail and overall be accountable for building strong relationships within the immediate team, across the broader IAG business, and with External Stakeholders. You will need to feel comfortable working in a different city to your manager and fellow assistants (while the assistants work closely together, we are located in different cities).

 

Key Responsibilities

 

 

 

Complex diary management for 3 Executive Managers (based interstate).

Meeting/event coordination and logistics.

Managing email inbox as required.

Coordinating and managing travel arrangements for the Executive Managers and their team.

Processing all Executive Managers credit card expenses and the sign off process of Statements of work of invoices in a timely manner.

Assisting with recruitment, onboarding and offboarding for the Executive Managers leadership teams where required.

Site specific facilities management where required.

 

Skills & Experience

 

 

Minimum 2 years’ experience in an Assistant or Office Support role.

Organised, proactive and professional with an ability to both multitask and work autonomously.

Attention to detail, self-awareness and discretion.

Understanding of working in a commercially sensitive environment.

Financial Services experience is advantageous but not essential.

Remote/virtual support of teams across multiple locations.

Experience in applications such as Teams, SharePoint, OneNote, WebEx, Confluence and Jira.
