Contract Representative

Job brief

This is an entry level for graduate role. This level will work under close supervision according to laid down procedures and will be at Professional Development Program (PDP) in learning and familiarizing with all the stages of the Contracting process in the company. The job also involves providing efficient contracting services to all the Business and Functional Units by developing and procuring Company Contracts, Change Orders, Amendments and administering the bidding process to provide optimum suitable price and high quality services to all the Business Units and Functional Units of the company. The job also includes handling and resolving Contractor claims against Company and formulates responses or settlements that are well founded to enhance the position and image of the Company.

Responsibilities

– Learn to review and the approval process of contract / amendment requests and other documents submitted by contract.

– Learn to develop contract and amendment procurement plans, advertisements and pre-qualification forms and familiarize with the established procedures and guidelines.

– Familiarize with joint evaluation with the contract proponents of pre-qualification documents. Learn about bid slates and invitation for bids and related debriefings of contractors.

– Learn to develop, finalize and issue pro-forma contracts and amendments to bidders/ contractors.

– Learn about the functional review process of Pro-forma contracts and amendments.

– Familiarize with the procedures and guidelines for receiving and opening bids and the bidding process.

– Learn about job explanation meetings, site visits, and providing answers to bidder’s questions.

– Learn and familiarize with the bid evaluation guidelines, preparation of contract award recommendations and presentation to the Company duly authorized contract signatories for approvals; and conducting debriefings requested by bidders.

– Familiarize with the process, procedures, and guidelines for negotiating contracts and amendments.

– Familiarize with the process of processing, negotiating, and issuing contract change orders.

– Learn the process of finalizing contracts and amendments for endorsement and obtaining signatures of both the Company and the successful bidders/contractors.

– Learn to keep and maintain records and support documentation.

– Familiarize with the different standard letters and notices to contractors and contract proponents relative to contracts, amendments, and change orders.

Requirements

Bachelor Degree in Industrial Engineering or Electrical Engineering with experience from 0-2 years.

Good English speaking and writing.

Strong communication skills.

Good analytical skills

Ability to use and handle PC related software and programs.
