Position: Corporate Executive Assistant

Position Reports to: Managing Director

Subordinates:  None

Department:  Business Operations

Location: Sydney, Australia

Primary Objectives 

  • including preparation and supporting board members on decision making and execution.
  • Working with local lawyers to ensure we are adhering to legislative changes and implementation of those end to end changes
  • and affiliate crisis management.
  • Responsible for ensuring the Global/Regional/Local Delegation of Authority for AANZ is maintained and adhered to.
  • Responsible for Global/Regional Records Information Management (RIM), local ownership & accountability.
  • Working with Global/Region to manage the portfolio of insurances.

Principal Accountabilities 
The following accountabilities of this role in no way limit Astellas in allocating additional accountabilities (specific tasks, projects or related activities) to the employee, within the scope of the employee’s level of competence, experience, knowledge and qualification.

Accountabilities 

Corporate Governance

  • Hold the position of internal corporate liaison working with internal legal resource
  • Ownership of the and outsourced corporate secretarial function, managing the meeting of the Directors, registrations to meet the requirements in Corporations Act etc. and implement other corporate secretarial functions.
  •  Working with local lawyers to ensure we are adhering to legislative changes and implementation  of those end to end changes e.g. Modern Slavery Act Reporting Management of Business Continuity Plan and affiliate crisis management
  • Responsible for ensuring the Global/Regional/Local Delegation of Authority for AANZ is maintained and adhered to. Working with the business to ensure the policy reflects current practices, automation where possible and continuous improvement implemented.
  • Compliance, taking the lead role overseeing internal audits, organizing and creating plans & reporting for the business and leadership team and supporting finance with the management of J-Sox as and when required.
  • Responsible for Global/Regional Records Information Management (RIM), local ownership & accountability

Support the Leadership team and wider Business Operations team:

  • Working with Global/Region to manage the portfolio of insurances ensuring they are always kept up to date and relevant e.g. Travel, Cars, Public Liability, Marine Insurance & Industrial Special Risks
  • Scheduling and booking of Leadership team travel & accommodation requests as and when required
  • Support the Managing Director to manage the Business Operations activity budget
  • Lead and take ownership of local application of Global/Regional projects within the areas of responsibility and support and locally required projects supporting the affiliate 3-year plan.
  • Responsible for the IT access management process and implementation
  • Ensuring SharePoint/published content, assigned SOP’s & policies and process flows are keep up to date and maintained.
  • Responsible for the management operations of Global/Regional/Local Employee Awards

Other: 

  • Run on boarding sessions for new starters covering off Corporate Governance and area of responsibilities.
  • Provide cover for our Corporate Operational Effectiveness Specialist, as and when required.

Experience/Skills/Qualification

Required:

  • Experience in undertaking Corporate Governance activities
  • Strong competencies in organisation, governance, document management, secretariat and

  • Exceptional time management and organisational skills are critical for this role.

Preferred:

·         Pharmaceutical industry experience
