Customer Support Coordinator – Samples

What we need:

Under supervision, assists with placing, changing and servicing customer orders.  Performs a variety of administrative assignments related to reviewing, entering, and making changes to transactional information in the system.  Responsibilities include placing and servicing customer orders, shipping and expediting details, deposit requests, etc. to assure optimum customer service when responding to and handling customer inquiries.

What you’ll do:

  • Data Entry of Residential New Intros into Product Launch and Release Styles into Live System.
  • Set up Bill of Materials for the construction of Soft Surface/Custom Sample Devices and Artwork, including Labels, Cards, Decks, Blankets, etc. and Custom projects (also capable of doing the same for Hard Surface Sample Devices).
  • Create Sample Product Masters and Selling Styles.
  • Proofread mass-produced Printed Materials that will be distributed throughout the USA and other countries.
  • Update Bill of Materials as required and Research Databases as necessary.
  • Maintain Sample Tracking Grids as needed & Produce Daily Reports.
  • Meet directly with Brand Management to ensure their Samples are set up correctly and by given deadlines.
  • Customize Sample Orders at Customers’ request to include sample racks/materials and Contact outside Vendors for Cost information to Coordinate the Development, Production and Shipping of Custom Carpet Samples.
  • Communicate/Assist with Internal and External Customers, Vendors, Sales Reps, Manufacturing, Pricing, Marketing, Shipping, Quality and Inventory Control as needed and Coordinate Customer/Vendor Pick-ups for Outside Custom Sample Orders.
  • Order, Acquire and Assign Sample Quality Material for Outside Custom Sample Orders.
  • Send specifications, testing and warranty information to customers and sales for Custom Sample Orders as needed and serve as Point of Contact for Customers to resolve Complaints about returns or order errors.
  • Other needs as defined by the Sample Administration Manager.

What you’re good at:

  • Excellent oral, written, presentation and interpersonal communication skills to effectively interact with internal product/brand management and external customers/vendors
  • Strong analytical and problem solving skills a must
  • Highly effective level of organization and attention to detail with accuracy and minimal human error
  • Must be able to prioritize and manage time effectively to meet project deadlines
  • Must be able to work independently and as a team member to form positive working relationships
  • Must be able to multi-task in a fast-paced environment with ever changing priorities

What else?

  • High School diploma or GED – some College preferred
  • Prefer Job-Related Samples experience
  • Must be proficient in PC Computer Skills and using Microsoft Word, Excel, Outlook
