What is the Data Production Specialist role for Data Prdn. & Document Mgmt group responsible for?
- The purpose of the Data Production Specialist role is to process, maintain and mail special handling of all clients/user external and internal report events on the Trust Accounting System, statement creations, Support Client Online Access, and participate in projects. Also includes providing coverage to other departmental teams with workflow and volumes.
- Performance of these duties requires an extensive understanding of the systems and applications related file creations and transfers to print/web vendors, statement creations, online and the ability to exercise reasonable discretion and good judgment in discerning the relevant portions of general information applicable to specific situations. Consistent with the in-depth training required to perform these responsibilities, this extremely detailed and confidential work is performed with minimal supervisory input.
What are the ongoing responsibilities of a Data Production Specialist?
- Assists in the day-to-day activities for the Operations Team. This includes but not limited to;
Corporate and Class Action:
- Compiling and forwarding notifications to Custody Advisors and clients.Verifying and updating client contact information on Global Plus.Serving as a liaison between the Custody Managers/CSAs and FTL Corporate/Class Action Groups
- Tracking and inputting instructions received from Advisors and clients.Addressing client inquires.Maintaining a good understanding of industry changes and options that affect Corporate and Class Action rulings
Proxy:
- Processes domestic and international proxies for client accounts.Independently prioritize and cast votes, on behalf of FTCI which have granted authorization or submitted instructions.Maintains records for proxy materials, annual reports, and literature.Research and interpret regulatory, industry and corporate developments affecting department responsibilities.
- Collect and compare information from internal and external sources to evaluate possible impact of changes; summarize findings and recommend creation of, or revisions to, department references, records, procedures, workflows, records management systems, or reporting.
- Generates electronic holding files and/or reports for Proxy Vendors.Reconcile data listed on proxy maps to identify holders on proxy ballots.Recognize and alert supervisor to proposals that, if not resolved, could result in conflict of interest issues for FTCI based upon client relationship, industry affiliation or other business relationship.
Mutual Fund:
- Review and approve/reject mutual fund trades within Charles River for affiliated fund purchases.Validating documentation listed in Global Image for proper authorization for affiliated mutual fund purchases.
- Generation and mailing of notifications, prospectus and authorization letters per regulatory guidelines.Weekly reporting for pending trades with outstanding documentation
- Performs and assists with other Operational tasks, such as:
- Assists with Client Mailings.Creating and updating Policy and Procedure documents.Ensuring adherence to Company & Department policies and procedures
- Assisting in projects related to department workflows or applications.Provides assistance to other teams in operations.Effectively prioritizing and delegating tasks
Project Management:
- Participates in Enterprise Projects at the strategic and discretionary levels.Participates in statement and FTCI.com projects and implementations.Assists with creating and reviewing test plans for proxies.Manages and coordinates project plans
- Interacts a great degree with global teams.Serves as a liaison between vendors.Provides backup to other areas of the Fiduciary – Operations Group
- Degree or equivalent.

- 1 – 2 years industry experience preferred.
