The Audit, Risk, Compliance and Legal groups support First Republic’s business objectives by systematically improving the effectiveness of its risk management, control and governance processes. Duties and Responsibilities
The Executive Assistant, Internal Audit provides administrative support to the Executive Vice President, Chief Audit Executive, and administration of Internal Audit Department. The position manages one direct report and provides support to other Internal Audit personnel and managers, as required.
What you’ll do as an Executive Assistant:
– Provide administrative support to the Executive Vice President, Chief Audit Executive, including answering incoming phone calls, managing calendar, coordinating meeting and travel arrangements, preparing expense reimbursements. Related duties may include overseeing department onboarding and coordinating department recruiting efforts.
– Act as liaison between the Executive Vice President, Chief Audit Executive and team members, , external auditors, internal and external personnel including Board Members to assist with any audit-related processes, issues or questions that may come up and to keep the Executive Vice President, Chief Audit Executive informed.
– Coordinate and set up meetings including gathering and preparing agendas, materials and arranging logistics (e.g., conference room reservation, audio and video connection, ordering refreshments, preparing or creating presentation materials, etc.).
– Coordinate recruiting efforts with internal and external recruiters and manage candidate interviews.
– Coordinate and facilitate team events and annual multi-day offsite. Offsite meeting planning includes: venue research/negotiation/selection; coordination of sleeping rooms, food and beverage, and speakers; and on-site event management.
– Coordinate with the Department Support Assistant, providing guidance on best practices and next steps on complex tasks and projects.
– Prepare memos, meeting notes, letters and other documents and reports for internal and external distribution.
– Lead and manage special projects as needed (department relocations, etc.)
– Perform other duties & responsibilities as required or assigned by supervisor. As necessary, perform various clerical duties for team including copying, filing and organizing.
– Set priorities and organize the administrative workload for assigned area of responsibility to make the most effective use of the manager’s and own time.
– Office administration, including ordering supplies, prepare and mail correspondence and routine reports.
Responsibilities include the following: 1) adhering to and complying with the applicable, federal and state laws, regulations and guidance, including those related to Anti-money laundering (i.e. Bank Secrecy Act, US PATRIOT Act, etc.) 2) adhering to Bank policies and procedures, 3) completing required training, 4) identifying and reporting suspicious activity to the AML Officer, and 5) knowing and verifying the identity of any customer(s) that enters into a relationship with the Bank.
Qualifications

– Ability to work under pressure and tight deadlines. The ability to handle multiple tasks and rapidly shift priorities is important. Follow-up on critical/open items is essential.
– Ability to maintain confidentiality of information received, accessed, provided or known. This is a fast-paced office environment that requires strong commitment to internal client service and strict adherence to deadlines.
– Excellent verbal and written communication skills.
– Proficiency with Microsoft Office programs, specifically Word, Excel, PowerPoint and Access.
– A high degree of professionalism and strong work ethic, coupled with a sense of responsibility and integrity required.
– Bachelor’s Degree, preferred.
– A minimum of 5 years practical business/administrative experience strongly preferred.
– Excellent interpersonal skills, dependability, and the ability to communicate with all levels in the organization required.
– Excellent meeting planning, project management, and organizational skills required.
– Excellent judgment and discretion required in handling highly sensitive and confidential information in a respectful manner.
– Strong initiative and good judgment a must.
– Ability to manage and develop department support assistant.
– Attention to detail and prioritization skills needed.
– Ability to work under minimal supervision under tight time constraints as needed.
– Ability to work independently but also partner as a team player.
– Willingness to take direction from various sources as required.
– Ability to compose routine letters and/or emails needed.

– Must be able to travel as position requires, in a limited capacity.
